Retreat Policy
Please read carefully before completing your retreat registration. By submitting payment at checkout, you confirm that you have read, understood, and agree to the following terms and conditions.
1. Booking, Deposit & Payment

A $200 non-refundable deposit is required to reserve your space. This deposit applies to your total retreat cost and cannot be refunded or transferred, except as noted in Section 3.

The remaining balance must be paid in full no later than six (6) weeks before the retreat start date.

If full payment is not received by the due date, your reservation may be canceled and your deposit forfeited.

Payments may be made via credit card, ACH/online transfer, or another method approved by the organizer.
2. Cancellations & Refunds

Deposits are non-refundable.

If you cancel on or after the balance due date, all payments are non-refundable unless a special arrangement is made directly with the organizer.

We strongly recommend purchasing travel and trip cancellation insurance to protect against unexpected events such as illness or travel disruption.
3. Pre-Retreat Requirements
To ensure a safe and supportive experience, all participants must:

Attend all required pre-retreat prep calls (unless alternative arrangements are approved in advance).

Complete a 30-minute onboarding or coaching call before the retreat.

Submit all required medical and health forms truthfully by the stated deadline.
-
Provide a doctor’s consent form if requested, confirming your ability to participate in physically demanding activities.

Acknowledge that you are responsible for maintaining the fitness level needed for your selected retreat.
Failure to complete these items may result in denied participation or additional requirements such as medical clearance.
4. Assumption of Risk & Liability Waiver
Retreat activities may include hiking, outdoor skills, movement, or therapeutic exercises. These inherently involve physical risk.
By registering, you voluntarily assume all associated risks and agree to release and hold harmless Deep Rooted Wellness & Creatives, LLC, its staff, facilitators, and contractors from any liability for injury, illness, or damages, except as prohibited by law.
You also consent to receive emergency medical care if needed and accept responsibility for any medical or evacuation costs.
5. Medical Information & Emergencies

You must disclose any relevant medical history, current medications, allergies, or mental/physical health conditions that may affect participation.

You authorize the organizer to provide or arrange emergency care if necessary and share pertinent health information with medical providers.

Any evacuation or emergency transportation costs are your responsibility.
6. Code of Conduct

Respect for facilitators, staff, and fellow participants is required at all times.

You agree to follow all safety instructions and group agreements.
-
Anyone whose behavior endangers others or disrupts the group may be asked to leave without refund and at their own expense.
7. Confidentiality & Photography

Participants are expected to keep all group sharing and discussions confidential.

Photos or videos may be taken for marketing purposes. If you prefer not to appear in photos, please notify the organizer in writing before the retreat begins.
8. Organizer Cancellations or Changes

The organizer may postpone or cancel the retreat due to low enrollment, unsafe conditions, or other circumstances beyond their control.

In such cases, you’ll receive either a full refund (including deposit) or a credit toward a future retreat.

The organizer is not responsible for any incidental travel or airfare costs.
9. Insurance & Local Taxes

Participants are responsible for obtaining their own travel, health, and trip interruption insurance.

Any local taxes or fees not included in the retreat price are the participant’s responsibility.
10. Governing Law
This policy is governed by the laws of the State of New Jersey. Any disputes will be handled within the appropriate courts of that jurisdiction.
